About the Position
Water For People is currently recruiting for the position of Administrative Assistant. Based at Water For People’s headquarters in Denver, Colorado, the Administrative Assistant supports the Senior Leadership Team (SLT) and the Board in daily operations. The Administrative Assistant enables the SLT to work most effectively with internal and external stakeholders and fulfill their commitments to Water For People’s partners, funders, and the Board of Directors. The Administrative Assistant acts as a point of contact between SLT and employees or other stakeholders and is the point of contact for the Board. This is a highly strategic and facilitative role that requires a combination of focus and flexibility as well as a willingness to play an active, behind-the-scenes role. A large percentage of the Administrative Assistant’s time will be dedicated to supporting the CEO.
Essential Job Functions and Duties
Provide administrative support to ensure efficient operation of the Office, the CEO, and the SLT
Establish and organize regular weekly SLT meetings (and special meetings as required); take accurate minutes and complete in a timely manner; track action items
Manage the CEO’s calendar, contacts, expense reports, travel, and other key logistics
Provide travel and administrative support to other SLT members as requested
Screen and prioritize the CEO’s appointments and requests
Serve as the primarily contact with the Board of Directors for administrative support
Prepare all logistics (Board book, all documentation, and Board member travel logistics) for Board meetings and conference calls
Responsible for confidential and time sensitive material
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Provide general support to visitors
Research and create presentations
Book conference calls, rooms, taxis, couriers, and hotels etc.

Qualifications, Knowledge, and Skills Required
Bachelor’s degree or equivalent work experience required
Spanish skills preferred
At least 3 years of progressively more complex administrative experience
Excellent time management skills and the ability to multi-task and prioritize work
Detail-oriented and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Proficient in Microsoft Office - Word, Excel, Teams, PowerPoint, Skype for Business, and OneDrive
Experience working in a start-up or small organization in which both functional management and hands-on delivery of administrative service was required
Mission-driven; passionate about Water For People’s mission
Good sense of self and strong personal presence
Willingness to work hard and take direction—but also creatively solve problems for which the answers aren’t always obvious
Physical Requirements and Working Conditions:
Open office environment when not traveling
